About this policy
Around the Circle Midwifery, LLC ("Around the Circle," "we," "us," or "our") respects the privacy of everyone who visits our website. This policy explains what information we collect through this website, how we use it, whom we share it with, and the choices you have.


This policy covers our website only. The health information we create and keep as your midwifery practice — your chart, your labs, your birth records, your billing file — is protected separately under the Health Insurance Portability and Accountability Act (HIPAA) and Washington State law. Our Notice of Privacy Practices describes how we handle that information; we provide it to every client at the start of care, and it is available at our office upon request. If anything in this website policy appears to conflict with our Notice of Privacy Practices, the Notice of Privacy Practices controls.

Please don't send medical details through this website
Our website contact form, our survey, and ordinary email are not secure or encrypted, and they are not a substitute for a conversation with your midwife. Please do not use them to send clinical questions, symptoms, test results, or anything else you consider private medical information.


If you need to reach us about your care, call the office at (360) 459-7222. If you are experiencing a medical emergency, call 911.

Information we collect


Information you give us


Contact form. When you send us a note through our Contact page, we collect your first and last name, email address, phone number, and whatever you choose to write in the message field.


Feedback survey. If you complete our client and family survey, we collect your responses. 


Consultations and scheduling. If you request a free consultation or ask us to schedule a service, we collect the contact details and basic information you give us so we can respond.


Email and social media. If you email us or message us on Facebook or Instagram, we receive whatever you send, subject to those platforms' privacy practices.


Information collected automatically
Our website is built and hosted on the Wix platform. When you visit, Wix automatically collects certain technical information on our behalf, which may include:

  • your IP address and general geographic location

  • your browser type, device type, and operating system

  • the pages you view, the time and date of your visit, and how long you stay

  • the website or link that referred you to us

 

This information is collected through cookies and similar technologies. We use it to keep the site working, keep it secure, and understand how visitors use it in general terms. We also use Google Analytics / Wix Analytics to help us understand site traffic.


Cookies
Cookies are small text files stored on your device. Our site uses:

  • Essential cookies, which are necessary for the website to function and cannot be turned off;

  • Functional cookies, which remember your preferences;

  • Analytics cookies, which help us see how the site is used.

Most browsers let you refuse or delete cookies through their settings. If you block cookies, some parts of the site may not work as intended. Our site does not currently respond to browser "Do Not Track" signals.

How we use this information
We use the information collected through this website to:

  • respond to your questions, consultation requests, and appointment inquiries

  • provide, schedule, and follow up on the services you ask about

  • improve our website, services, and the care we provide

  • send you information you have asked to receive

  • keep our website secure and prevent misuse

  • comply with our legal, professional, licensing, and accreditation obligations

We do not sell your personal information. We do not share it with advertisers, data brokers, or anyone else for their own marketing purposes.

Whom we share information with
We share information only in these circumstances:

  • Service providers. Companies that help us operate — our website host (Wix), our email provider, our payment processor, and our electronic health record and practice-management systems. These vendors may access information only as needed to perform services for us. Where the law requires it, they are bound by written agreements (including HIPAA business associate agreements where applicable).

  • Your health care. With your consent or as permitted by HIPAA, we share clinical information with consulting physicians, hospitals, laboratories, The Birth House, LLC, and others involved in your care. This sharing is governed by our Notice of Privacy Practices, not by this website policy.

  • Insurance and billing. With your health plan or payer, for payment and benefit purposes.

  • Legal requirements. When required by law — for example, birth and vital records reporting, mandatory public-health or child-safety reporting, a subpoena or court order, or a request from a licensing or regulatory body.

  • Safety. When necessary to prevent a serious and imminent threat to your health or safety or that of another person.

  • Business transition. If our practice is sold, merged, or transferred, client records may transfer with it, as permitted by law.


Washington State consumer health data
Washington's My Health My Data Act gives Washington residents rights over certain consumer health data. Health information we create, receive, or maintain as a HIPAA-covered health care provider — including the information in your chart — is regulated under HIPAA and is exempt from that Act.


Information you volunteer through this website that reveals something about your health (for example, telling us in the contact form that you are pregnant and due in March) is used only to respond to you and to provide care, and is never sold or shared for advertising. We do not use tracking pixels or advertising tags that would transmit health-related information about you to third parties.


If you are a Washington resident and would like to request access to or deletion of consumer health data we hold about you, contact us at midwives@aroundthecirclemidwifery.com or (360) 459-7222.

Your choices and rights
You may:

  • Ask what we have. Request a copy of the information we hold about you.

  • Correct it. Ask us to fix inaccurate information.

  • Ask us to delete it. Request deletion of website-collected information. We must retain clinical and billing records for the period required by Washington law and our professional obligations, and we cannot always delete them upon request.

  • Opt out of emails. Unsubscribe from any non-essential email we send, using the link in the message or by contacting the office. We may still send you messages about your care and appointments.

  • Withdraw consent you previously gave in the future.

 

Rights over your protected health information — including the right to request an accounting of disclosures and the right to request restrictions — are described in our Notice of Privacy Practices.

 

To make a request, contact us using the information at the top of this page. We may need to verify your identity before we act.

How we protect information
We use administrative, physical, and technical safeguards to protect the information in our care, including secure hosting, access controls, and staff training on privacy obligations. No website or method of electronic transmission is completely secure, however, and we cannot guarantee absolute security. Please use the phone for anything sensitive.

How long we keep information
Website inquiries and survey responses are kept only as long as needed for the purposes described above. We retain clinical and billing records for the period required by Washington State law and applicable professional standards.

Children
Our website is directed to adults and is not intended for children under 13, and we do not knowingly collect personal information from children through this site. This is separate from the care we provide to newborns and children, which is documented in their clinical records with a parent's or guardian's consent. If you believe a child has submitted information through our website, contact us, and we will delete it.

Links to other sites
Our website links to third-party sites and services, including Facebook, Instagram, and our payment processor. We are not responsible for their privacy practices. Please review the privacy policy of any site you visit.

Changes to this policy
We may update this policy from time to time. When we do, we will revise the "Last updated" date above and post the new version on this page. We will note material changes on the website.
